You have signed up, confirmed your email and signed in. This page suggests what to do next, in an order that works for most agencies. It takes about an hour, and you can stop at any point: nothing here has to be done in one sitting.
The CRM has no checklist that ticks these off for you. It does have a short guided tour of the dashboard, which opens the first time you sign in. Take it if you like: it takes about a minute, and you can reopen it later from the ? icon at the bottom of the menu.
Every step below is for the Agency admin. Agents can’t open the settings pages.
Fill in your agency’s profile
Open Settings, then Agency.
- Upload your logo and check the agency name.
- Add the public email, phone, website, city and office address. Buyers see these on the marketplace, on your agency’s page and on your listings.
- Check the time zone and currency, which were set from your country, and the CRM language your team’s CRM starts in.
See Agency settings.
Send your verification documents
Open Settings, then Verification. Enter your business number and upload your registration documents, then click Send for checking.
Do this early. Your listings can’t go on the marketplace until SADE has verified the agency, and the check takes SADE some time. Your CRM works fully in the meantime.
See Verification.
Add your agents
Open Team, then Agents, and click Add agent for each person. You choose each agent’s first password, so tell them it yourself: the CRM doesn’t email them an invitation.
Have each agent’s photo, email, mobile number, age and city to hand: the form needs all of them. Your plan sets how many agents you can have. You, the agency admin, don’t count.
See Team and roles.
Decide who gets new leads
Open Settings, then Lead routing.
- Set Contact new leads within: how many minutes your agents have to contact a new lead. It starts at 5.
- Choose where a lead goes when no rule matches: to the agent of the listing it’s about, or to the shared pond.
- Add rules if some leads should go to particular agents, for example rentals to one agent and sales in Tirana to another.
See Lead routing.
Bring your listings in
You have two ways to start:
- Many listings at once: open Settings, then Imports & feeds, and import a spreadsheet, or connect a feed from your current software. Until SADE has verified your agency, imported listings also wait for SADE’s review. See Imports and feeds.
- A few listings: open Properties and add them one by one. See Adding a listing. A listing you add by hand waits for SADE’s review before it is published. See Review and publishing.
Set up your follow-up
These are optional on day one, but they save your agents time from the first lead:
- Templates: the emails, WhatsApp messages and SMS texts your agents send most often. See Templates.
- Action plans: a timed list of follow-up steps that become tasks for the agent, for example a call at once and a WhatsApp message two hours later. See Tasks and action plans.
Connect your website
If your agency has its own website, open Settings, then Integrations, and add a website form. Enquiries from your site then arrive in the CRM as leads, the same as marketplace leads. See Website forms.
Check your trial
Open Settings, then Plan & billing. It shows your plan, “Trial until” and the end date, and how many agents and listings you use. Choose a plan before the trial ends to keep the CRM open. See Plans and billing.
After the first hour
- Your agents sign in with the details you gave them, add a photo in their profile, and check that Taking new leads is on at the top of the Leads page. See Signing in and Leads.
- The phone app: SADE sends you the download link for the SADE CRM app. Agents sign in with the same details as on the web. See The mobile app.
Ilir signs Tirana Living Real Estate up at 09:00 on Monday and is in the CRM by 09:05. He skips the guided tour for now.
By 09:10 the logo, the office address on Rruga Ismail Qemali and the public phone are in Agency settings. At 09:20 he has sent the NUIS and the QKB extract for verification. By 09:30 Arta Krasniqi, Besnik Leka and Erjona Hasani have accounts, and he has sent each of them their first password on WhatsApp.
In Lead routing he keeps the 5-minute target and adds one rule: every rental lead goes to Erjona. At 09:45 he imports the agency’s 60 listings from the spreadsheet he used before. SADE hasn’t verified the agency yet, so they wait as Pending for SADE’s review, like listings added by hand. At 10:00 he opens Plan & billing, notes that the trial ends in 14 days, and leaves choosing a plan until the team has tried the CRM.
